Step 1: Navigate to the Quotation Module
- From the ERPNext dashboard, go to Selling > Quotation.
- Click on New to create a new quotation.
Step 2: Add Customer Information
- In the Customer field, select the customer from the list.
- You can either choose an existing customer from the drop-down list or create a new customer by clicking the + New Customer button.
Step 3: Add Quotation Items
- Scroll down to the Items table.
- Click on Add Row to add a product or service.
- Select the item from the drop-down, and the price and quantity fields will populate automatically if you've pre-configured them.
- Enter the Quantity, Rate, and other relevant details like Item Description, UOM (Unit of Measure), etc.
Step 4: Apply Discount on an Item Level
- In the Discount % field, enter the discount you want to offer on the specific item.
- This will automatically reduce the price for that item in the Amount column.
- You can also give discount by amount.
- Maximum discount by % or by amount is subject to user having privilege to offer discounts.
Step 5: Apply Discount on the Total Invoice
- Scroll down to the Additional Discount section.
- In the Apply Additional Discount On either select Net Total or Grand Total.
- In the Additional Discount Percentage field, enter the discount percentage for the total invoice.
- Or give discount by amount by entering the discount value in the Additional Discount Amount field.
Step 6: Set Taxes and Charges
- Below the items section, there is an area for Taxes and Charges.
- Choose a pre-configured tax template from the drop-down list, or create a custom tax rule.
Step 7: Review and Save the Quotation
- After entering all necessary details, scroll up and click the Save button. You can save by using Ctrl+S keys.
- Review all the details of your quotation before finalizing it.
Step 8: Print or Email the Quotation
- Once the quotation is submitted, you can print it by clicking Print or email it directly to the customer by clicking Email.
Step 9: Convert Quotation to Sales Order (Optional)
- If the customer approves the quotation, you can convert it to a Sales Order.
- Click on Make (found on the top right), then choose Sales Order.
Additional Tips:
- Quotation Validity: Set an expiry date for the quotation to ensure it’s valid for a specific period.
- Multiple Currencies: If you're dealing with international customers, ERPNext allows you to create quotations in multiple currencies.
- Templates: Use pre-designed templates for quotations to maintain consistency in your documents.
Now your quotation with item-level and total invoice discounts is ready to be shared with your customer.
