To solve this, we built a robust POS application (PosX) that works as long as the POS computer is powered on, ensuring sales never stop. Local Maria Database
Our offline POS uses MariaDB, the same high-performance database at the core of ERPNext, ensuring full compatibility and stability. MariaDBÃ open-source architecture efficiently handles multiple salespersons, large inventories, and high volumes of sales invoices without slowing down. Its robust storage capacity supports seamless operations even during peak business hours, preventing interruptions and downtime. Local DB Connector
PosX, our Flutter-based POS app, quickly connects to your local database, letting users log in instantly if data is already synced. A one-time setup handles new installations. Our Frappe-based sync app keeps customers, items, sales invoices, and more up-to-date using secure REST and RPC APIs. PosX Login
SIn PosX, each salesperson enters their ERPNext URL, ID, and password. The app verifies credentials directly with ERPNext, granting access only when correct. For maximum security, PosX works exclusively with HTTPS-enabled ERPNext sites, encrypting all API traffic and protecting sensitive data. If SSL is not configured, the app will not run, ensuring your system always meets modern security standards. This workflow gives business owners a reliable, safe, and compliant POS solution, minimizing security risks while keeping your sales operations fast and uninterrupted.
First Database Sync
PosX checks for the last synced ERPNext tables, starting the first sync automatically if the database is blank. The sync securely pulls all customers and items, while stock, batches, serials, and payment modes follow the POS profile. Once complete, the app is ready for use, providing a fast, stable, and reliable POS experience that reduces IT effort, ensures accurate sales operations, and keeps your business running efficiently without interruptions.
PosX Default Page
The PosX home page is the default view, giving salespersons all key functions in a single frame. This allows them to start the sales process immediately, minimizing customer wait times. With all information stored locally in the MariaDB database, the app runs lightning-fast, delivering stable, reliable, and efficient performance for smooth, uninterrupted operations.
Opening Voucher
Once the first database sync is complete, sales can begin immediately. PosX ensures accurate cash management by prompting the salesperson to create an opening voucher, which tracks the initial cash in the till. The voucher is automatically assigned an ID and can be edited freely until a closing voucher is created. Once the closing voucher is submitted, the opening voucher becomes locked, preventing errors or adjustments. This workflow provides fast, reliable, and secure sales operations, reduces the risk of cash discrepancies, and ensures your POS system delivers stable, accurate, and efficient performance while keeping the sales process smooth and well-organized.
Item Detail Section
Items can be added to the cart using a barcode scanner or entered manually, allowing salespersons to work quickly and efficiently. Quantities can be adjusted, and discounts applied within ERPNext-authorized limits. PosX prompts the salesperson if a discount exceeds the allowed percentage, ensuring accurate and compliant pricing. Detailed item information, including price and available stock, is always visible, enabling informed decisions. Items can be removed from the cart either by clicking the "Remove Item" button or reducing the quantity to zero. This workflow delivers fast, reliable, and stable operations, minimizing errors and keeping sales processes smooth and efficient for both staff and customers.
Invoice Discount
PosX enables smooth, efficient checkout with flexible discounting options. Salespersons can apply item-level discounts or a discount to the entire invoice, ideal for promotions or loyalty rewards. All discounts are restricted to authorized staff and automatically capped at the maximum percentage defined in the ERPNext POS Profile, protecting your profits. This workflow ensures accurate, reliable pricing while empowering your team to enhance the customer experience. Multi Batch Item
PosX supports items sold across multiple batches, ensuring accurate quantity tracking for each batch. Similar items from different batches are added as separate lines in the cart, allowing precise deduction of stock for the actual sold batch. During invoice sync, PosX securely transfers the batch ID to ERPNext, guaranteeing that stock adjustments reflect the true sold batches rather than relying on FIFO. This workflow provides stable, reliable, and accurate inventory management, minimizes errors, and ensures your POS maintains consistent and precise stock records, supporting smooth operations and efficient sales processes across your business.
Payments
PosX dynamically syncs payment modes from the ERPNext POS profile, automatically reflecting any additions or removals. Sales can be processed using a combination of loyalty points and other payment methods, providing flexibility and a seamless customer experience. For efficiency, invoices can be submitted without printing, saving time at checkout. If printing is later required, the invoice can be easily printed from the Sales Invoice page. This workflow ensures fast, reliable, and flexible payment processing, reduces errors, and keeps sales operations smooth and efficient, empowering your team to serve customers quickly while maintaining accurate and stable transaction records.
Sales Invoice List
PosX automatically syncs data with ERPNext every five minutes, ensuring fast, reliable, and up-to-date information across systems. The sync interval can be adjusted in PosX global settings, and salespersons can also trigger a manual sync on demand. The Sales Invoice list displays the status of each invoice. "Created" to “In Progress" and finally “Synced" when ERPNext assigns an invoice ID. If an error occurs, PosX captures it, allowing the salesperson to review and correct it in ERPNext before resyncing. This workflow provides stable, efficient, and transparent operations, reducing errors, maintaining accurate records, and keeping your sales process smooth and reliable.
Price or Stock Check
PosX allows salespersons to quickly check item prices and stock before adding them to the cart, providing a fast and transparent customer experience. Using the “Price/Stock Check" button, items can be scanned or searched manually, and detailed information is displayed instantly. Salespersons can then choose to “Add to Cart,either adding to an existing cart or creating a new one, or “Discard"to clear the selection without action. This feature ensures smooth, efficient operations, helps manage inventory accurately, and allows staff to respond quickly to customer inquiries, maintaining fast, stable, and reliable sales processes throughout the store.
Closing Voucher
At the end of each shift, the salesperson creates a closing voucher in PosX. The app automatically pulls the opening cash amount and all sales totals by payment mode, providing fast and accurate reconciliation. Salespersons can enter currency denominations to verify that the physical cash matches system records, reducing errors and discrepancies. A short comment of up to 80 characters can also be added, which is saved locally and printed on the closing voucher. This workflow ensures reliable, stable, and efficient end-of-day operations, giving business owners confidence in accurate cash handling and smooth, error-free sales closure.
Hold Cart
PosX allows salespersons to hold scanned carts when customers need to pause their purchase, preventing loss of scanned items and speeding up checkout when the customer returns. Multiple carts can be held simultaneously, ensuring smooth and efficient operations even during busy periods. Through ERPNext POS profile settings, held carts can be automatically cleared after a defined interval, or they can remain until manually used or deleted. This feature delivers stable, reliable, and flexible sales management, reducing errors, improving customer service, and keeping your checkout process fast and efficient while maintaining accurate cart records.
New Customer Creation
PosX keeps customer information up-to-date by syncing data with ERPNext at regular intervals. Salespersons can create new customers directly in the app, either before or during a sales transaction. PosX assigns a local customer ID and, during sync, checks ERPNext for duplicates before creating the customer record, ensuring accurate, consistent data across systems. Once created, sales invoices for the new customer are automatically synced, and ERPNext customer IDs are captured to prevent duplicates. This workflow provides fast, reliable, and efficient customer management, reduces errors, maintains stable data integrity, and ensures your sales team can serve customers smoothly and confidently.
Customer, Loyalty Points & Salesperson
PosX allows the salesperson to search for customer to access available loyalty points, which can be used as a mode of payment for invoices, providing a fast and flexible checkout experience. The app also captures the salesperson information for each transaction, whether multiple salespersons share a machine or a single salesperson uses it. This information is synced to ERPNext and included in reports that support performance tracking, incentive calculation, and commission management. By maintaining accurate, reliable, and stable salesperson data, PosX ensures smooth operations, precise reporting, and efficient management of customer loyalty and staff performance.
Multiple Validations
PosX includes multiple validations to ensure the sales process is fast, efficient, and error-free. Most validations rely on ERPNext data, such as maximum discount amounts or percentages, which are automatically updated in PosX when changed in ERPNext. Additional checks include “Create Opening Voucher",“Clear Cart", “Item Out of Stock", “Outstanding Balance" at invoice submission, and “Invoice Discount" limits. Many more validations are applied at every step of the sales process. These safeguards provide stable, reliable, and accurate operations, helping salespersons avoid mistakes, maintain compliance with business rules, and deliver a smooth and professional checkout experience.
Vacuum Fluorescent Display (VFD)
PosX supports VFD customer displays, for clear visibility of transaction details such as item prices, quantities, and order totals. Standard settings show each scanned item information in real time, ensuring transparency and a professional customer experience. Additionally, welcome messages like “Welcome to Bahrain POS can be configured in the ERPNext POS Profile and automatically synced to the VFD. This feature delivers fast, reliable, and stable performance, enhances customer engagement, and ensures a smooth, efficient, and error-free sales process at every checkout.
