The client operates a premium optical practice founded by a regional pioneer in ophthalmology, Dr. Hassan Al Arrayed, with over 50 years of experience across Bahrain, Saudi Arabia, Qatar, the wider Middle East, the USA, and the UK. The practice is part of a respected medical group that includes Al Arrayed Eye Center, Ibn Rushd Medical Center, and Ibn Al Nafees Hospital in the Kingdom of Bahrain. Their optometrists are trained in advanced clinical environments and supported by the latest diagnostic technologies, ensuring consistently high standards of eye care.
We modernized operations by replacing Tally and disparate optical software with our integrated Optometry ERP platform built on Frappe ERPNext.
Our Optometry ERP enables precise eye test recording for each eye individually, following international optometry standards. Test results are captured for right eye (OD), left eye (OS), or both eyes (OU), including SPH, CYL, Axis, ADD, Prism, and Pupillary Distance (PD), ensuring accurate prescriptions and consistent clinical documentation.
Batch tracking enables inventory to be managed by lot, providing full visibility into item movement and expiry dates. The system identifies near-expiry items in advance, helping users take timely actions—such as prioritizing sales—to minimize inventory loss and improve stock control.
The system supports both B2B and B2C sales through an integrated Point of Sale module. B2B teams can create quotations and convert them into sales orders, while a centralized customer database manages multiple contacts and delivery locations. The accounts team controls billing by tracking sales order progress and issuing tax invoices as required.
OOnce the optometrist records the eye test results, the system seamlessly generates a work order for custom lenses or spectacles. Advance payments can be collected if required, and order progress is tracked through a configurable workflow. Users have full visibility into each work order, and customers receive SMS confirmation when the finished product is delivered to the ordering branch.

We have developed reports tailored to real client needs, ranging from basic stock and zero-stock reports to items nearing expiry, batch-wise inventory, daily sales summaries, accounts payable and receivable, fast- and slow-moving items, supplier-wise stock balances, and more.
The system includes a comprehensive inventory control module that tracks stock from purchase and warehousing through to sales. It supports FIFO and Moving Average valuation methods, helping prevent theft, misplacement, and incorrect valuation of current assets. Integrated inventory provides real-time visibility into product availability, warehouse stock levels, transfers, and more.
The system delivers an IFRS-compliant accounting module with automated ledger entries, minimizing manual posting. It includes Chart of Accounts, opening balances, taxes, advance payments, budgeting, and subscription management. Automated VAT calculations support local tax reporting. Profit & Loss and Balance Sheet reports are available per branch, while AP/AR reports improve cash flow management. Accurate item valuation, including indirect costs, provides precise per-item profitability.
The system automates purchase order creation by default supplier or at the branch level and alerts the purchase department when inventory reaches low levels. Branches can also raise manual material requests, which the operations team reviews to either transfer stock from the central warehouse or create a purchase order. Additionally, the system can consolidate multiple requests into a single purchase order per supplier.
